Testing Campus Orgs Initiative : Why Archive?

Why digitize my student organization?

Your organizations can live beyond your time at Furman and you never know when someone in the future might need to reference back to the documents your organization is making in the present.

It can show the progress and development of your club over time.

You never know when files, either physical or digital (such as social media) could be lost and without backups.

You can choose what you do and do not want to enter into the archives, you do not have to preserve everything or anything you don't want to.

What can I archive?

What you choose to and to not archive is entirely up to you, there isn't a true list as to what you can't choose:

Publications and publicity material

  • posters
  • flyers/graphics
  • newsletters
  • brochures and event programs
  • press releases
  • zines
  • merchandise

Digital media

  • photographs
  • audio recordings
  • videos of significant events

Founding and governing documents

  • constitutions/bylaws
  • handbooks
  • policies
  • annual reports
  • membership list
  • leadership reports

Meeting materials

  • agendas
  • minutes
  • attendance lists
  • PowerPoints
  • committee reports
  • audio/video recordings of meetings

Social media networks

  • Instagram
  • Facebook
  • Twitter
  • Tiktok

What if I don't have anything to archive?

There is not an expectation that you upload a certain number of documents, even uploading a singular photo helps to tell the story of your student organization!

This is not a required process, if your organization does not wish to digitize its information then you do not need to.
