LibGuides Standards and Best Practices

Overview

Note: These instructions are for those who have the permissions to edit calendars and hours. If you have any questions, please contact librarywebservices@furman.edu

Log in to LibCal:

  1. Log into https://libcal.furman.edu/
  2. Click on the orange “Calendar” button
  3. Click on the appropriate calendar. The options are
    • James B. Duke Library Hours
    • Maxwell Music Library Hours
    • Sanders Science Library Hours
    • Special Collections & Archives Hours

Navigate to a different month, if necessary

Enter Recurring Hours

  1. Click on a day to enter or modify an event

  2. Change the “Date:” radio button to “Repeated”
    1. Select the repeat internal – most commonly, this will be “Weekly”, as you set up repeating hours for the coming year’s regular Monday hours, then for Tuesday hours, etc.

    2. Leave the “Repeat every 1 week” number unchanged – again, most commonly you’ll be setting up repeating hours for one particular day of the week at a time

    3. Most likely, you’ll leave unchanged the “From:” date, which defaults to the calendar day you clicked on

    4. For the “To:” date, choose the last date on which you want these recurring hours to appear.  For initially populating the coming year’s worth of Monday’s, for example, you might choose the last day of the academic year (then you’ll fill in the exception hours during the coming year, which will override the initial setting of recurring regular hours). 

  3. Click to check the “All Day” box under “Event Date/Time”

  4. Enter hours in the “Title” field in the“Event Information” section as follows:
  • For open hours:Monday 8:00am - 1:00am

  • For complex hours:Friday 9am - 12pm & 2pm - 5pm

  • For closed hours:Monday Closed

  • Note: If you don’t use this exact format you will most likely break the script that parses out the exception hours from the format of the data you enter.Please note the hyphen above is a single dash character (MS Word likes to change it).Please also note that we need to omit the “:00” from complex hours entries so that they’ll fit in the spaces available to us.

  • The hours that you enter need to fit in the monthly calendar boxes, the single line of “today’s hours” in the upper right corner of our LibGuides and Sharepoint header, and in the Exception hours displays.Please use the above-recommended format, or talk with me about any other needs so that we can be sure that everything works and displays well.
  1. In the “Location” dropdown, select “James B. Duke Library”

  2. If you’re entering exception hours, select the appropriate period from the “Category” dropdown

  3. Click the “Add Event” button

Enter Individual Hours

  1. Click on a day to enter or modify an event

  2. Leave the "Date: Once on:" radio button selected

  3. Click to check the "All Day" box under "Event Date/Time"

  4. Enter hours in the "Title" field in the"Event Information" section as follows:
    • For open hours:Monday 8:00am - 1:00am
    • For complex hours:Friday 9am - 12pm & 2pm - 5pm
    • For closed hours:Monday Closed
    • Note: If you don't use this exact format you will most likely break the script that parses out the exception hours from the format of the data you enter.Please note the hyphen above is a single dash character (MS Word likes to change it). Please also note that we need to omit the ":00" from complex hours entries so that they'll fit in the spaces available to us.

  5. The hours that you enter need to fit in the monthly calendar boxes, the single line of "today's hours" in the upper right corner of our LibGuides and Sharepoint header, and in the Exception hours displays.   6. In the "Location" dropdown, select "James B. Duke Library"

  7. If you're entering exception hours, select the appropriate period from the "Category" dropdown

  8. Click the "Add Event" button

Modify Existing Hours

  1. Click on the day of interest

  2. Click “Modify Single Event” (it’s unlikely that you’d click “Modify All Recurring Events” in this context – note that each day’s hours includes the “day name”, so you can only really modify a group of future “same days of the week”, like the next 2 Mondays during Christmas break)

  3. Edit the “Title” field in the “Event Information” section with the updated hours

  4. If this hours update includes adding or changing an exception hours period to this day – like when the president adds a day to our Thanksgiving break – select or remove the appropriate “Category” from the dropdown list

  5. Click the “Update Event” button
